Who provides EmailDJ
EmailDJ is an independent email workspace created by Denis Dai. This policy describes the official website and the connected EmailDJ service. Local editions and your email and AI providers can have different storage and processing arrangements.
What we process and why
- Account information: your email address, sign-in identity, sessions and subscription status, to authenticate you and provide access.
- Connected mailbox information: messages, headers, participants and attachment references needed to sync mail, show conversations and support the workspace. Attachments can be retrieved when needed.
- Workspace records: tasks, business decision context, contacts, knowledge, preferences and saved drafts, to preserve your work across supported clients.
- Connection credentials: mailbox authorization tokens or mail credentials and saved AI provider keys, to connect the services you select. These cloud credentials are encrypted.
- Operational records: request status, AI usage, model and token accounting, errors and billing references, to operate the service, enforce allowances, diagnose failures and prevent abuse.
AI processing
Relevant message text, conversation context, selected attachment content and workspace information may be included in requests used to analyze mail, surface business decisions, answer questions or prepare drafts. Requests go through EmailDJ’s backend to the selected provider, including when you bring your own AI key. BYOK does not mean that processing stays on your device.
AI providers apply their own processing, retention and data-use terms. Check the terms of your chosen provider before connecting sensitive information. EmailDJ’s Cloud AI route disables prompt/response logging and caching at the configured AI gateway; this is not a guarantee of zero retention throughout the service or at every provider.
Services involved
EmailDJ uses Cloudflare for website hosting and backend infrastructure, including its workspace database and Cloud AI gateway; Brevo for email sign-in codes; Google or Microsoft when you select their sign-in or mailbox connections; your connected email and AI providers; and Dodo Payments for checkout and billing. Each receives the information necessary for its role. Dodo handles payment details in its checkout; EmailDJ stores billing and access references. Service providers may process data outside your country.
Storage and retention
The connected service stores mailbox content as well as workspace records. Mail bodies are cached: the current shared cloud cache is bounded by a 90-day retention limit and a 1 GiB target per account. Storage pressure can evict content earlier. Device caches have separate limits. Searchable mail metadata generally has a 12-month window; reference records can remain to keep tasks and knowledge connected. Cache expiry does not erase saved tasks, knowledge, billing records or all account data, and does not delete the original message from your email provider.
Workspace records remain to provide your saved work. Operational and billing records may be retained for service operation, accounting and dispute handling. EmailDJ does not currently offer a self-service, account-wide deletion button or promise a fixed deletion deadline for every record.
Your choices
You can review and edit drafts, correct saved knowledge, export cloud workspace records from your website account, cancel renewal through Billing and revoke mailbox authorization at Google or Microsoft. Revoking authorization prevents future authorized access but does not itself erase previously stored EmailDJ records. Contact the founder to request access, correction or account-data deletion and to discuss the scope and any records that must be retained. Cancelling billing is separate from deleting data.
Website cookies and local storage
The website uses a secure, HttpOnly refresh cookie for sign-in and session storage to complete provider sign-in. The public website does not include third-party advertising or analytics scripts. Your browser still makes normal requests to EmailDJ’s hosting and API services.
Updates and contact
We update this page when the service’s data handling changes. The date above identifies this version.
For privacy, security, account or billing questions, contact founder Denis Dai through LinkedIn or X (@olllotop). Please do not post passwords, API keys, private emails or payment details publicly.
